Public notices, agendas and minutes, posted on time and easy to find.

DistrictDocs is a public-records website for fire districts and other special districts with nobody to maintain a website. We run the site. Your secretary uploads the documents.

How it works

  1. Upload the PDF

The notice, agenda or minutes, exactly as the board approved it.

  2. Say what it is and its date

The site files it under the right kind, year and meeting.

  3. It is published

On its own page, in the lists above, ready to share.

What it does

Public notices, shown on time

Each notice shows from the date you choose until the date you choose, on its own page.

The next meeting, up front

Its date and agenda appear on your home page. When a meeting moves, change the date and add a one-line note, and the home page shows both.

Minutes, by year

Drafts are marked as drafts until the board approves them. Search across titles and summaries.

Your records stay yours

We back up your site every night. Whenever you ask, we send you a complete copy of every record and every file, at no charge, and if you leave, you take all of it with you.

The site is built to WCAG 2.1 AA. But if you upload scanned minutes with no text layer, no website can make them accessible: a screen reader sees a photograph. That is why every document you upload is checked for a text layer, and the ones without one are flagged so you know which to fix. Anyone telling you a website alone makes you compliant hasn't thought about your PDFs.

Who built it

DistrictDocs was founded by Ross Thornhill, an elected fire commissioner in New York, with 34 years in emergency services and 30 years in information technology. The software was built for a working fire district first, and the district uses it every day.
